About us

Built on buyer-side facilities management experience

Kingbolt Tenders is a tender and bid writing firm that works only with facilities services contractors. The work is led by a former facilities manager from one of Australia's big four real estate firms, who has managed facilities services contractors from the client side, so we know what a workable service model looks like and how to answer published evaluation criteria clearly.

We work with small and mid-sized contractors in Melbourne and across Victoria that are bidding for government, council and commercial contracts. Every scored section is reviewed and rewritten by our senior reviewer and checked for compliance before it reaches you.

Why the name? In a roof truss, the kingbolt is the one bolt that ties the whole structure together. That's our job on your tender: pulling the criteria, evidence, methodology and staffing story into one response that holds up when it's scored.

Conflict policy: we act for only one bidder on any tender, and we decline any engagement where we have a conflict of interest. Every engagement includes a written conflict declaration.

Process

How a tender job runs

  1. Conflict check & quote

We confirm we have no conflict and no other client on the tender, then send a fixed-fee quote and terms.

  2. Kick-off & evidence

A short call and an intake form to gather your contracts, systems, people and proof.

  3. Draft

A compliance matrix and first draft built against the criteria and weightings.

  4. Review & rewrite

Our senior reviewer rewrites the scored sections with facilities management judgement. You check the facts.

  5. Compliance check

Mandatory items, word limits, attachments and declarations are all checked.

  6. You lodge

You set your price, sign the declarations and submit under your own name.

Facilities only

Cleaning, mechanical, electrical, fire and essential safety, security, grounds, pest, waste, lifts, building maintenance and integrated FM. You don't pay for us to learn your industry.

Truthful, evidence-first

We only write what you can back up. Generic padding and unsupported claims come out.

Clean competition

One client per tender, separate and confidential client files, and you always set your own pricing.

Content you keep

Once paid, you own your final bid content and can reuse it in future tenders.

Fair, plain terms

Fixed fees, a 50% deposit and 50% before lodgement, written in plain English.

What you get: a worked example

Weak answer

Criterion: describe how you will maintain service quality (weighted 30%).

"We are a leading cleaning company with many years of experience. We always provide high-quality services, our staff are fully trained, and we will meet all of your requirements."

Generic claims, nothing the evaluator can score against the specification, and no evidence.

Stronger answer

Criterion: describe how you will maintain service quality (weighted 30%).

"Each site will have a named supervisor who completes a documented quality audit every week against the cleaning specification. Audit results are reported to your contract manager each month with the agreed KPIs, and any failed item is fixed within the timeframe set in the contract. Sample audit reports from current contracts are attached."

Specific, tied to the specification and KPIs, and backed by evidence the contractor can actually provide.

FAQ

Common questions about tender writing

Do you guarantee we'll win?

No. Nobody honestly can. Outcomes depend on the buyer, your price and the other bids. We make sure your response is compliant, clear and written to the criteria.

Will you write for our competitor on the same tender?

No. We act for only one bidder on any tender. The first client to accept a quote and pay the deposit is the one we work with, and we keep every client's information separate.

Do you set our prices?

No. You set your own pricing. We can check that your pricing schedule is consistent with the staffing and methodology in your response, but the price is always your decision.

Who submits the tender?

You do, in your own name and portal account, and you make all the buyer's declarations.

Do you work with contractors in Melbourne and regional Victoria?

Yes. We work with facilities contractors in Melbourne and across regional Victoria, mostly remotely. We can also help with interstate and federal tenders.

How much notice do you need?

Ideally two weeks or more before closing. Tenders closing in under seven days may attract a rush loading. Ask us anyway.

Do prices include GST?

All prices are in AUD. No GST is charged.

Got a tender coming up?

Send us the tender name, buyer and closing date. We'll run a conflict check and come back with a fixed-fee quote.
